Privacy
A clear view of what RGN keeps and why.
You can explore RGN and complete the Weekly Running Quiz without an account. If you choose to join, your account details and saved Quiz history stay private. A profile becomes public only when you publish it.

Your Journey and its audiences
Journey is your chronological record across RGN. New accounts begin with Private as the audience for future entries. You can choose Private, mutually accepted Friends, signed-in Members or Public for each entry, and change the default for future entries without changing earlier ones.
Completing an eligible Training session, Monthly Focus check-in, saved Quiz or Pathway milestone can add a minimal Journey entry using the future audience you chose. RGN does not copy source notes, reflection text, maps, activity links, Quiz answers or scores into that entry. Historic activity is not made public or added as new public content.
People with access to an entry can offer Encouragement and signed-in members can comment. A comment keeps the entry audience that applied when it was posted as its widest reach. A later entry change can narrow comment access but cannot silently broaden it. Comment authors can find and remove their own comments even after entry access ends, without receiving the entry content again.
Entry and interaction access ends immediately when an audience no longer permits it, a friendship ends, either member blocks the other, content is removed or an account enters closure. Reports are confidential and authorised safety reviewers can hide reported content.
Journey, friendship choices, comments, Encouragement, blocks and issued Training links are included in the relevant account controls and export. Legacy private check-ins and their map attachments remain private to their owner. Closing membership removes Journey identity and owned content under the account lifecycle.

Deliberate Community participation
This separately dated clarification explains the first Runners Gateway Community without replacing the membership Privacy notice or recording a new Privacy acceptance. Joining requires a separate Community participation notice.
The Journey clarification above now governs new milestone sharing. Earlier Community records keep their recorded audience. Quiz scores and answers, Training plans, private notes, activity links and maps, Monthly Focus reflections and Pathway progress detail are not included in automatic Journey milestones.
Members can see finite activity allowed by each entry, offer or remove one Encouragement, comment, block another member and submit a confidential category-only report. Authors and Community stewards do not receive reporter identity. A scoped moderator may hide reported content and a minimum audit record is retained.
Leaving withdraws your active Community cards and Encouragements. Account export includes your membership, publications, Encouragement given, notice acceptance and your existing reports and blocks. Closing membership removes your Community membership and participation identity under the account lifecycle.
The Facebook group link opens an external service. RGN does not import, embed or automatically post Facebook activity. Facebook receives the ordinary information your browser sends when you follow the link and applies its own privacy practices.

Your details in Explore
Explore is available to active RGN members. Demo profiles and activity remain clearly labelled.
Your genuine profile and discovery details appear in Explore only while your profile is published and you have explicitly chosen to share them with all RGN members. An earlier choice for the smaller preview does not grant this permission. Review your profile and choose visibility in My Run Card.
Discovery choices stay separate from your direct public profile. They remain private when you leave Explore, are included in your account export and are deleted when you close membership. Unpublishing removes Explore visibility; publishing again requires a fresh choice.
This clarification does not replace the accepted membership Privacy notice or record a new acceptance.

How the closed Explore preview uses discovery details
This separately dated clarification explains how the accepted 25 August 2026 Privacy notice applies to the closed Explore preview. It does not replace that notice or record a new acceptance.
An eligible member may add optional discovery choices about activities, experience, goals and distance interests, then make a separate choice about appearing in Explore. A real member appears only while their profile is published, they have pilot access and they have chosen Explore visibility. Discovery choices are not added to the direct public profile or exposed anonymously.
RGN uses those choices only to save and show the member's closed-preview discovery state. They remain with the member's private profile while membership is active, are included in the member's export and are deleted on membership closure. Leaving Explore, unpublishing or losing pilot access removes the relevant Explore visibility.
Fictional demo profiles are clearly labelled inside the authorised preview. They are unavailable through public profile, photo and indexing routes.
01
Who is responsible
Runners Gateway Network is operated by Gary Robert Wilmot, a sole trader trading as Avallach Technology (ABN 37 177 187 798).
If you have a privacy question or complaint, email hello@runnersgateway.com. Using that link opens your own email service. RGN does not collect the message through a web form.
02
Information we handle
You do not provide identity information simply by browsing the public website or playing the Quiz. If you join RGN, we handle the minimum information needed for your membership:
- your verified email address and private display name;
- confirmation that you are at least 18 and the versions of the Terms and Privacy notice presented when you joined;
- membership identifiers and dates needed to create, maintain and close your RGN membership;
- any optional profile details you add, including your handle, introduction, broad running or walking context and selected external links;
- an optional profile photo, stored in a private bucket as one optimised image after its source metadata is removed;
- any Quiz results saved to your private history, including the edition, completion and save dates, final responses, clue stages, points and total score; and
- limited technical and security information needed to deliver the service, prevent abuse and resolve faults.
Creating a profile or choosing a handle does not make it public. If you deliberately publish, your display name, handle and every completed profile field, including broad location, photo and links, become visible to anyone at the public address and may appear in search engines. Your email address, account details and saved Quiz history are never part of the public profile.
03
Why we use it
We use this information only where it is needed to:
- create and secure your Runners Gateway identity;
- verify your email address and help you recover access;
- activate and manage your private RGN membership;
- save, show, publish, unpublish and export your profile;
- process, show, replace or remove your profile photo;
- save and export your private Quiz history;
- respond when you contact us for help;
- protect RGN from misuse and investigate service faults; and
- meet legal obligations that apply to the service.
Your email address and password are used for your shared Runners Gateway identity. Changing them through RGN also changes how you sign in to other Runners Gateway services that use that identity. Joining RGN does not automatically import a profile or content from another Runners Gateway service.
RGN does not connect to, import from or verify parkrun, Strava, Garmin, Runs of the World or a general website you add. We do not fetch or preview those links. If you deliberately follow one, that provider receives the ordinary information your browser sends when opening a website and applies its own privacy terms.

The Weekly Running Quiz
No account is required to play the Quiz, receive and review your result, retake it or share it. With JavaScript available, answers and scoring stay in the current browser tab while you play.
Without JavaScript, each form submission sends your current attempt and choice to RGN to work out the next question or result. RGN returns that progress to your tab without saving the answers or result. This fallback does not create a Quiz history record or put your answers in links, application logs, analytics or server caches. This explanation was added on 12 September 2026.
With JavaScript available, after the full result appears, RGN saves the first result for an active signed-in member. Other visitors can choose Save this result. RGN validates the completed attempt and recalculates the score before saving. One result can be kept for each edition, and a later result replaces it only after you confirm. Saved results are personal records for enjoyment and are not independently verified competition results.
Sharing is optional. The sharing tools send a Quiz invitation and edition link without your score, questions or answers. The app or service you choose for sharing applies its own privacy terms.
05
Essential browser storage
RGN uses only the browser storage and cookies needed to provide the service you ask for.
- A small notice acknowledgement records this notice version and an expiry time so the same notice is not shown on every visit. It expires no later than 90 days after it is saved and contains no name, account identifier or visit history.
- With JavaScript available, the Quiz uses session storage for the current edition's progress and result. This supports an ordinary refresh in the same tab. It is normally removed when that tab's browsing session ends.
- If you sign in, essential authentication cookies keep the session secure and allow it to be refreshed. RGN keeps these cookies on the RGN host and does not use them for advertising or cross-site tracking.
- After you activate RGN, a small host-only cookie remembers that your private Quiz history is available. It contains no name, email address or Quiz result. Every save still requires your signed-in membership.
If notice storage is blocked, you can still dismiss the notice for the current page. If Quiz session storage is blocked, you can still play, but a refresh cannot restore progress. Essential authentication cookies are required to sign in and use private member pages.
06
Service providers and location
RGN uses Vercel to deliver the website, Supabase for shared authentication and RGN data storage, and an email delivery service for verification, recovery and account-change messages. These providers process only the information needed for their part of the service.
RGN and its providers may process or store information in Australia and other countries. Privacy and security protections may differ between countries. We choose and configure providers with the aim of protecting your information throughout that processing.
07
Retention and security
RGN keeps your private member details, optional profile and saved Quiz history while your RGN membership is active. Unpublishing stops RGN from serving the public page and photo, but RGN cannot recall copies already saved or indexed by other people or services. Closing your RGN membership removes public access immediately and deletes those RGN details, the profile, photo and Quiz results. A handle that was public is retained only as a non-attributed reserved string so it cannot be reused for impersonation. RGN confirms closure only after the private photo is confirmed absent. If deletion cannot yet be confirmed, the membership remains in a locked, retryable closure state and is not described as closed. It does not delete your shared Runners Gateway login or information held by another Runners Gateway service.
Hosting, authentication, email and security systems may retain limited operational records for service delivery, fraud prevention, fault investigation and legal obligations. These can include an IP address, request time, requested page, browser details, delivery status and security signals. RGN does not put passwords, access tokens or Quiz answers into application logs.
We use access controls, private member routes, secure transport and data access rules to protect member information. No online service can promise absolute security, so please use a strong, unique password and contact us if you believe your account is at risk.
08
Your choices
- Use every public Quiz feature without joining RGN.
- Review and change your display name, profile, email address or password, and publish or unpublish your complete profile.
- Download an export of your RGN membership details, profile, publication state, a copy of your profile photo itself, saved Quiz history and your owner-side Community participation. This does not include information held by another Runners Gateway service.
- Close your RGN membership and delete its member details, profile and photo, and Quiz history while retaining the shared Runners Gateway login and only a non-attributed reservation for a previously public handle.
- Clear this site's browser storage using your browser settings.
- Email hello@runnersgateway.com to ask for access, correction, help with an export or closure, or to make a privacy complaint.
Please provide enough detail for us to understand your request. We may need to confirm your identity before changing or releasing private account information. We will review privacy complaints carefully and explain the outcome.
09
No tracking or advertising
RGN does not use advertising cookies, cross-site tracking, identity-based measurement or profiling. We do not sell personal information. Essential storage is not used to build a record of the pages you visit or to follow you across other websites.
